Make Your Knowledge Base Multilingual

MailDesk can automatically translate your KB articles and categories into up to 4 languages: German, English, Spanish, and French. The translation uses your own AI API key — you retain full control.

How to Translate Articles

  1. Go to Settings → Knowledge Base → Articles
  2. Click the Translate button at the top right
  3. Select the Target Languages (DE, EN, ES, FR)
  4. Switch between the Articles and Categories tabs
  5. Check the boxes for the entries you want to translate
  6. Click Translate — progress will be displayed live

Edit Translations

Open an article for editing. Below the title, you will see language tabs (Original, DE, EN, ES, FR). Click on a tab to view and manually edit the translation. You can also delete translations.

Recognize Already Translated Articles

In the translate modal, you will see small language badges (e.g. "EN", "ES") next to each article indicating which translations already exist. Articles can be retranslated without any issues — the old translation will then be updated.

Costs

The translation uses your BYOK API key (the same as for AI responses). Approximately €0.01-0.05 is charged per article and language — depending on article length and model.

Requirement

You need a configured AI API key under Settings → AI. Without a key, the translate button is disabled.
